Update your CRM from every call automatically
Have AI pull the fields you need from each call transcript, send you the update to approve, then write it to the deal.
By Angelo Natale2 hoursSet up once, then after every call
What it does
A CRM is only as good as what gets typed into it, and after a call nobody wants to type. So stages are wrong, next steps are missing, and the numbers buyers gave you sit in a recording nobody rewatches. An AI step can read the transcript and fill in the fields. Start it in approval mode: it drafts, you approve.
What you need
- A call recorder that makes transcripts
- A CRM with a field for each thing you want kept
- Your recorder’s own CRM connection, or Zapier or n8n with an AI step
How it works
Pick the fields
The ones you’d want to see before the next call: stage, the problem in their words, their numbers, the cost of doing nothing, who decides, objections, and the next step with a date.
Write the extraction prompt
Prompt for the AI stepHere's a sales call transcript. Fill in these fields from what was said. stage: one of [YOUR STAGES] problem: in the buyer's words, quoted numbers: every number the buyer gave, with what it measures cost_of_doing_nothing: as they said it, or "not discussed" decision_maker: name and title, or "not discussed" objections: quoted next_step: what, who and when promises: anything I said I'd send or do, and when Only use what's in the transcript. If a field wasn't discussed, write "not discussed". Don't guess. [TRANSCRIPT]
Connect it
New transcript, then the AI step, then a message to you with the draft update. When you approve it, it writes to the deal. Many call recorders connect to CRMs directly. Where yours doesn’t, Zapier or n8n can.
Approve every update for two weeks
Count your edits field by field. A field that goes two weeks without an edit can write on its own. Stage and deal value stay with a person.
Spot-check every week
Read five updates against their recordings. One bad one, and that field goes back to approval.
What good looks like
Every call updates its deal within the hour, in the buyer’s words, and you only touch the fields that need you.
Mistakes to skip
- Letting it write to the CRM on day one.
- One long summary instead of fields. Nobody can filter a paragraph.
- Letting AI move deal stages on its own.
