Test every handoff in your funnel with a test lead

Walk a test lead through every path, from form to CRM to calendar to follow-up, and fix the places where a real lead would fall through.

By Angelo Natale1 hourEvery month, and after any tool change

What it does

Leads rarely get lost inside a tool. They get lost between tools: the form that stopped sending to the CRM, the booking that never created a deal, the alert that goes to an old inbox. Nobody notices, because nothing shows an error. A test lead walked through every path once a month finds the gaps before a real buyer falls into one.

What you need

  • A list of every way a lead reaches you
  • An email address you own, just for tests
  • An hour

How it works

  1. Map every path in

Website forms, booking links, chat, replies to cold email, referrals and events. Each one is a path to test.

  2. Write down what should happen at each step

Google Sheets: paste into A1, then add your own paths
Path	Step	What should happen	Within	Did it happen?	Notes
Website form	Submitted	Contact and deal in the CRM	1 minute
Website form	Submitted	Alert to the owner	1 minute
Website form	Submitted	Confirmation email to the lead	5 minutes
Booking link	Booked	Deal moves to "Booked"	1 minute
Booking link	Booked	Reminders scheduled	1 minute
  3. Send a test lead down each path

From your test address, with “TEST” in the name, so nobody mistakes it for a buyer. Tell your team first.

  4. Check every step happened, on time

And that the details arrived right: name, company, source, and the campaign tags if you use them.

  5. Fix the first gap, test again, then clean up

Fix one gap at a time and rerun the test. When everything passes, delete the test contacts and deals, so they don’t count in your numbers.

  6. Repeat after any change

A new tool, a new form, a changed connection or a new teammate’s inbox. Every change is a new chance for a gap.

What good looks like

Every path a lead can take ends in your CRM, with an alert to a person, and you’ve proved it this month.

An example, not a client story. The test lead fills in the website form. The CRM gets the contact, but the deal lands in an old pipeline nobody watches, so the alert never fires. One setting gets changed, the test runs again, and the deal shows up in the right place within a minute.

Mistakes to skip

  • Testing once at launch, then never again.
  • Leaving test leads in your CRM, where they count in your numbers.
  • Testing only the website form. Replies, referrals and bookings need a path too.
