Build a copy bank every email and page draws from
Keep your one-liner, proof, why-now lines, objection answers and buyer words in one place, so nothing gets written from scratch.
By Angelo Natale1 hourOnce, then whenever a line wins or stops working
What it does
Every time someone writes an email, a page or a post from scratch, the message drifts. A copy bank stops it: the lines that work, in one place, so every person and every AI tool starts from the same words. When a line improves, everything that uses it improves too.
What you need
- Your sales argument (see write your sales argument)
- Your buyer phrases (see pull why your customers bought)
- Your signal list (see rank your buying signals)
- A doc or Notion page everyone can reach
How it works
Start the page
The copy bank: copy into a doc and fill it inCOPY BANK: [COMPANY] Last updated: [DATE] ONE LINE: what we do, for whom, and the result [ONE SENTENCE] PROOF, only what we're allowed to use 1. [RESULT, WHO, HOW LONG, SOURCE] 2. 3. WHY NOW, ONE LINE PER SIGNAL Hiring for [ROLE]: [LINE] New [LEADER] started: [LINE] Raised a round: [LINE] OBJECTIONS, WITH ONE-LINE ANSWERS "[OBJECTION]": [ANSWER] THEIR WORDS "[PHRASE]" (used by [NUMBER] customers) WORDS WE DON'T USE [E.G. LEVERAGE, STREAMLINE, CUTTING-EDGE, SOLUTIONS]
Fill it from your argument
The one line, three proof points with their sources, and your top objections with one-line answers. If a proof point has no source, it doesn’t go in.
Write a why-now line for each signal
One sentence that names the reason you’re writing, then a question. One for each signal on your list, so a signal-triggered email is never written from scratch.
List the words you don’t use
Words your buyers never say, and words every competitor uses. It’s the fastest way to make an AI draft sound like you.
Make it the starting point for everything
Paste it into every AI tool you write with, and point every rep, agency or contractor at it. When a line wins a test or lands on a call, update it here first.
Prompt for Claude or ChatGPT, with the copy bank pasted inBelow is my copy bank. Write [WHAT YOU NEED, E.G. A SHORT EMAIL TO SOMEONE WHO JUST STARTED AS HEAD OF OPERATIONS]. Rules: - Use the one line, proof and why-now lines as written. Don't invent new proof. - Use the buyer's words from "Their words" where they fit. - Never use anything from "Words we don't use". - Keep it short and plain, the way I'd say it out loud. [PASTE THE COPY BANK]
What good looks like
Anyone on your team, or any AI tool, can write a first draft that sounds like you, with proof you’re allowed to use.
An example, not a client story. Two why-now lines from a scheduling company’s copy bank: “Saw you’re hiring a second dispatcher. Is that to keep up with volume?” and “Saw you’re opening a depot in Dallas. Who’s building the schedule for it?”
Mistakes to skip
- Proof without a source. If you can’t say where a number came from, it doesn’t go in.
- Letting it go stale. Date it, and update it when a line wins or stops working.
- Keeping it private. A copy bank only works if the people and tools that write for you use it.
