Follow up for 19 days after a sales call

A fixed run of emails, texts and calls for buyers who didn’t decide on the call, ending in a clean ‘close this out?’

By Angelo Natale30 min to set upAfter every call that ends in ‘not yet’

What it does

Most deals that don’t close on the call aren’t a no. They’re decided in the follow-up, and most founders follow up whenever they remember, with “just checking in”. Run the same sequence every time instead: something useful every few days, a call to ask for the decision, and a last email that makes it easy to say no. The moment they reply, the sequence stops and the conversation starts.

What you need

  • A recap email, sent the day of the call
  • Their phone number, if they gave it to you
  • Your CRM, to log each touch

How it works

  1. Send the recap the same day

Their numbers, what you’d do, what you agreed and the next step. Hold the contract until they’ve said yes. Sent early, it turns a decision into a document to review.

  2. Book a decision call if you can

If a decision call is in the calendar, don’t chase. Send something useful every couple of days instead: a case, an idea for their business, a short video on one part of your plan for them.

  3. If nothing’s booked, run the 19 days

    DAY 2, TEXT
Hi [FIRST NAME], it's [YOUR NAME]. Good talking yesterday. Any questions come up since?

    DAY 10, TEXT
Hi [FIRST NAME], still holding [WHAT YOU'RE HOLDING, E.G. A START DATE] for [COMPANY]. Want me to keep it?

    DAY 15, CALL
Is this still a priority, or should I close it out for now?
  4. Send the last email on day 18

    Email: day 18
    Subject: Close this out?

    Hi [FIRST NAME],

I haven't heard back, so I'm guessing the timing isn't right. I'll release [WHAT YOU'RE HOLDING] on [DATE] unless you tell me otherwise.

    [YOUR NAME]
  5. Stop the moment they reply

Pick it up as a conversation. Text only a number they gave you. A no: log the reason, and if it might change, offer to check back in 60 to 90 days.

  6. Move silent deals to nurture

After about a dozen touches with no answer, they go into your long-term campaign, and come back into the pipeline when a signal fires.

What good looks like

Every buyer who didn’t decide on the call gets the same 19 days, and every one ends with a yes, a no, a booked call or a clean close-out.

Mistakes to skip

  • “Just checking in”. Every touch needs a reason: an answer, an idea or a date.
  • Sending the contract before they’ve said yes.
  • Texting a number they didn’t give you.
  • Following up forever. About a dozen touches, then nurture.
